qualia Booking Terms and Conditions

Terms relating to COVID-19 illness and travel restrictions

  • If you have paid your final balance while borders are closed - if borders are still closed over your travel dates, the Standard or Festive Season Cancellation Policy will apply (see these below).
  • If you have paid your final balance while borders are open – if there is a sudden border closure after your final balance payment we will amend your travel dates without penalty.
  • If you have tested positive to COVID-19 in the 14 days prior to travel or are in self-isolation within 7 days of travel, we will amend your travel dates without penalty (written documentation is required).

Standard Deposit Policy

  • A deposit equivalent to 20% of the total booking value will be taken from the provided credit card. Full payment is required at the time of booking if travel is within 7 days of booking.

Final Payment Policy (excludes Festive Season)

  • The balance of your accommodation is required no later than 7 days prior to your arrival. Final balance payments are processed on the nominated credit card provided at the time of booking. To pre-pay your final balance via an alternative method, please contact our Luxury Reservations team on 1300 780 959 (+61 2 9433 0444).

Standard Cancellation Policy (excludes Festive Season bookings)

  • Notice of any cancellation, amendment or reduction in the daily number of reserved rooms must be provided in writing to qualia reservations on reservations@qualia.com.au.
  • Cancellations and amendments received outside of 14 days prior to arrival will not incur a cancellation fee.
  • Cancellations and amendments received within 14 and 7 days of arrival will be subject to a cancellation fee of 20% of the total booking value.
  • Cancellations and amendments received within 7 days of arrival, no shows and/or early departures will be subject to a cancellation fee of 100% of the total booking value i.e. penalty will equal the total booking value.
  • Terms relating to COVID-19 illness and travel restrictions: If you have paid your final balance while borders are closed - if borders are still closed over your travel dates, this Standard Cancellation Policy will apply. If you have paid your final balance while borders are open – if there is a sudden border closure within the 14-0 day period prior to travel we will amend your travel dates without penalty. For cancellations made before the Cancellation date, your booking deposit will be refunded or credited toward your amended dates. If you have tested positive to COVID-19 in the 14 days prior to travel or are in self-isolation within 7 days of travel, we will amend your travel dates without penalty (written documentation is required).

Festive Season Deposit Policy (bookings incorporating 21 December 2021 – 8 January 2022 inclusive)

  • A non-refundable deposit of 20% of the total booking value will be taken from the provided credit card.
  • Full payment is required at the time of booking if booked after 31 October*.

Festive Season Final Payment Policy (bookings incorporating 21 December 2021 – 8 January 2022 inclusive)

  • The balance of your accommodation is required by 31 October 2021*.
  • Payments not received by this date may result in cancellation of the reservation.
  • Final balance payments are processed on the nominated credit card provided at the time of booking.
  • To pre-pay your final balance via an alternative method, please contact our Reservations team on 1300 780 959 (+61 2 9433 0444).

Festive Season Cancellation Policy (bookings incorporating 21 December 2021 – 8 January 2022 inclusive)

  • Notice of any cancellation, amendment or reduction in the daily number of reserved rooms must be provided in writing to Hamilton Island Holidays.
  • Cancellations and amendments received on or prior to 31 October 2021* will be subject to a cancellation fee of 20% of the total booking value. 
  • Any cancellations and amendments received from 1 November 2021* inclusive, no shows and/or early departures will be subject to a cancellation fee of 100% of the total booking value.

Flight Bookings, Cancellations and Changes

  • Flights purchased are subject to the terms and conditions of the airline, including applicable fees and surcharges for any amendments or cancellations.
  • Please refer to your flight itinerary or airline website for further information.
  • Copies of relevant terms and conditions can be provided on request. 
  • If your flight has been booked and paid for directly with the Hamilton Island Reservations team, your flight itinerary and e-tickets will be attached to your first confirmation email.
  • Please print your e-tickets and take them with you to the airport.
  • You may be required to present this document upon check in and airport security checks.
  • Should you misplace your tickets, please reply to this email, requesting new copies. 
  • Please check your flight itinerary details and spelling of all passenger names on your flight tickets and contact us as soon as possible should any of the this information be incorrect.

Please call our Luxury Reservations team on 1300 780 959 (+61 2 9433 0444) to discuss your booking, particularly if you are drawing near to your Final Balance Payment deadline.
*In the event of any discrepancy between booking conditions listed on any other page of the qualia website or qualia booking engine, and these Booking Conditions, the terms of these Booking Conditions will apply.

General Booking Rules

Minimum Stay
A minimum 2 night stay applies for all reservations year round at qualia. A minimum 3 night stay applies for all reservations during Festive periods. See below for further Festive Season minimum stay restrictions.

Festive Season minimum stay
A three (3) night minimum stay applies to all Pavilion bookings incorporating Festive Season (21 December 2021 - 8 January 2022).

For qualia Classic bookings incorporating the night of 31 Dec
A supplement fee of $195 per person is applicable which includes dinner at qualia.

All prices are quoted in AUD and include 10% GST. Credit card surcharges do not apply.

Maximum Occupancy
All qualia Pavilions cater to a maximum two (2) adults per Pavilion, excluding The Beach House. All rates are based on two (2) adults per Pavilion.

qualia caters for guests 16 years and over only.

Check-in time is 2pm Check-out time is 11am. Arrival and departure details are required at the time of booking and prior to your arrival.

If you are arriving prior to 2pm, we suggest packing a change of clothes/bathers in your hand luggage, so that you can start your qualia experience straight away.

qualia reservations recommends travel insurance to cover cancellations, travel delays and all other unforeseen incidents and accidents

Blackout Period
20 – 29 August 2021 inclusive and 19 - 28 August 2022 inclusive (Hamilton Island Race Week)

Velocity Points are only earnt only on bookings made directly with qualia (conditions apply).

qualia room nights cannot be purchased for the purpose of third party promotions and prizing.
