Our COVID-19  Booking Conditions

If you have booked a holiday direct with Hamilton Island Holidays, and your travel is impacted by an interstate Queensland border closure or intrastate travel restrictions, please see the below for our terms and conditions related to your travel. If you have booked through a travel agent, online travel agent such as Expedia or independent accommodation provider you will need to get in contact with them directly as they may have different terms and conditions.

  • If you live interstate:
    • and have paid your final balance while the Queensland border is closed to your State, if the border closure remains in place over your travel dates, the Standard, Race Week or Festive Season Cancellation Policy will apply
    • and have paid your final balance while the Queensland border is open to your State, if there is a sudden Queensland border closure after your final balance payment, we will amend your travel dates without penalty.
  • If you live in Queensland:
    • and have paid your final balance while there are Queensland intrastate travel restrictions in place, if these travel restrictions remains in place over your travel dates, the Standard, Race Week or Festive Season Cancellation Policy will apply
    • and have paid your final balance while there are no Queensland intrastate travel restrictions in place, if there is a sudden introduction of intrastate travel restrictions after your final balance payment, we will amend your travel dates without penalty.

Please check Queensland Health and your own State Health website to be certain of what Travel Restrictions apply to you.

Our COVID-19 Health Instructions

As a small and remote island community that cares about the health and safety of our residents, staff and guests, we sincerely ask that you follow these health instructions before travelling to Hamilton Island.  
 
We are sorry if any of the below situations impact you. If you have booked directly with Hamilton Island Holidays, we will change your travel dates with no penalty. If you have booked through a travel agent, online travel agent such as Expedia or independent accommodation provider you will need to get in contact with them directly as they may have different terms and conditions.  

  • If you have recently become unwell with flu-like symptoms, please get tested immediately and wait until you receive your negative result before travelling to Hamilton Island. If you need to delay your trip for this, we will make every effort to find new dates as close to your original dates of travel as possible.
  • If you test positive to COVID-19 in the 14 days prior to travel, please do not travel to Hamilton Island. Please ensure that you and any other members in your household are tested and return a negative result before you travel.  Written documentation will need to be provided as evidence.
  • If you reside in or have recently visited a site that has been declared a COVID-19 hotspot, you cannot travel to Queensland. Please make sure to check the Queensland Health website regularly for updates on COVID-19 declared hotspots. Please note that you are required to complete a Queensland Entry Pass before travelling to Queensland and we have Queensland Police at the Hamilton Island Airport checking Entry Passes. If you have travelled from a COVID-19 hotspot you will be required to return home immediately or you will be moved to government arranged quarantine accommodation for 14 days at your own expense.
  • If you have visited a Queensland Interstate Exposure Venue, or if you have been deemed a close contact of someone with COVID-19 and are required to go into isolation, please do not travel to Hamilton Island for 14 days. Please ensure that you and any other members in your household are tested and return a negative result before you travel.

If you need to change your travel dates for any of the above reasons, please call our Reservations team on 137 333 between 8.30am - 5.00pm Monday - Fridays or 9.00am - 3.00pm Saturdays.

Standard Deposit Policy

  • A deposit equivalent to 20% of the total booking value is required at time of booking
  • This deposit is refundable up until 14 days prior to arrival date
  • Full payment is required at the time of booking if travel is within 7 days of arrival date

Final Payment Policy (excludes Festive Season)

  • The final balance of your accommodation is required no later than 7 days prior to your arrival date 
  • Final balance payments are automatically processed on the nominated credit card provided at the time of booking 
  • Final balance payments not received by 7 days prior to arrival date may result in cancellation of the reservation
  • To pre-pay your final balance via an alternative method, please contact our Luxury Specialists on 1300 780 959 (+61 2 9433 0444)

Standard Cancellation Policy (excludes Festive Season bookings)

  • Cancellations and amendments received outside of 14 days of arrival date will not incur a cancellation fee
  • Cancellations and amendments received within 14-8 days of arrival date will be subject to a cancellation fee of 20% of the total booking value
  • Cancellations and amendments received within 7 days of arrival date, ‘No Shows’ and/or ‘Early Departures’ will be subject to a cancellation fee of 100% of the total booking value
  • Notice of any cancellation, amendment or reduction in reserved rooms must be provided in writing to our Luxury Specialists on reservations@qualia.com.au
    • Alternatively, if you have booked online via our website and have not yet reached your cancellation deadline, you may cancel online here

Festive Season Deposit Policy (bookings incorporating 21 December 2021 – 8 January 2022 inclusive)

  • A deposit equivalent to 20% of the total booking value is required at time of booking

  • Full payment is required at the time of booking if booked after 31 October*

Festive Season Final Balance Policy (bookings incorporating 21 December 2021 – 8 January 2022 inclusive)

  • The final balance payment will be automatically processed on 31 October* on the nominated credit card provided at the time of booking
  • Final balance payments not received by 31 October may result in cancellation of the reservation

Festive Season Cancellation Policy (bookings incorporating 21 December 2021 – 8 January 2022 inclusive)

  • Cancellations and amendments received before 31 October* will not incur a cancellation fee
  • Cancellations and amendments received from 1 November* onwards will be subject to a cancellation fee of 100% of the total booking value, including ‘No Shows’ and/or ‘Early Departures’ 
  • Notice of any cancellation, amendment or reduction in reserved rooms must be provided in writing to our Luxury Specialists on reservations@qualia.com.au

*In the event of any discrepancy between booking conditions listed on any other page of the qualia website or qualia booking engine, and these Booking Conditions, the terms of these Booking Conditions will apply.

 

General Booking Rules

These are the general terms that apply to most qualia reservations. Every now and then a variation to these may be applicable to special qualia packages or offers. We recommend that you always check the Pavilion Room or Package inclusions on your Booking Confirmation email to be certain of any specific details that apply to your unique booking.

Third party promotions and prizing

qualia room nights cannot be purchased for the purpose of third party promotions and prizing.

Your arrival details

Arrival and departure details are required at the time of booking and prior to your arrival. Please email us on reservations@qualia.com.au with your flight or ferry arrival details. This ensures that our qualia Guest Services team will be there to greet you upon your arrival for your private transfer to qualia.

Maximum occupancy

All qualia Pavilions cater to a maximum of two (2) adults per Pavilion, excluding The Beach House. The Beach House caters to a maximum of four (4) adults. All rates are based on two (2) adults per Pavilion, otherwise referred to as twin share.

qualia minimum age requirement

qualia caters exclusively to guests 16 years and over.

However, all guests under the age of 18 must be accompanied by a responsible adult such as a parent, step-parent, guardian who has parental rights and responsibilities for the under 18 year old guest. If a guest is found to be a person under the age of 18 and is not accompanied by a responsible adult, Hamilton Island Enterprises Limited (HIE) may cancel the guest's booking and ask them to leave the island immediately, with the full booking amount being forfeited to HIE under this condition.

Pavilion rates

Pavilion rates increase from 1 April 2022.
Pavilion rates are based on twin share (two adults) and subject to availability. All prices are quoted in AUD and include 10% GST. 

Minimum night stay

A minimum two (2) night stay applies for all reservations year round at qualia, with the exception of Festive Season which requires a minimum three (3) nightstay.  

Festive Season minimum night stay

A minimum three (3) night stay applies to all Pavilion bookings incorporating Festive Season (21 December 2021 - 8 January 2022).

For qualia Classic bookings incorporating the night of 31 December 2021

An additional fee of $195 per person is applicable which includes New Year’s Eve dinner at qualia.

All prices are quoted in AUD and include 10% GST. Credit card surcharges do not apply.

Check-in / Check-out

Check-in time is 2.00pm
Check-out time is 11.00am

If you are arriving prior to 2pm, we suggest packing a change of clothes/bathers in your hand luggage, so that you can start your qualia experience straight away.

Flight bookings with Hamilton Island Holidays

f your flights have been booked and paid for directly with the Hamilton Island Holidays, your flight itinerary and e-tickets will be attached to your first confirmation email. It is important that you check your flight itinerary details and spelling of all passenger names as soon as you receive your e-tickets. If any information is incorrect please email us as soon as possible on flights@hamiltonisland.com.au.

Flight e-tickets

Please print your e-tickets and put them in a safe place, ready to take with you to the airport. You may be required to present this document upon check-in and airport security checks. Should you misplace your tickets, please email flights@hamiltonisland.com.au and request new copies.

Flight cancellations and changes

Flights purchased are subject to the terms and conditions of the airline, including applicable fees and surcharges for any amendments or cancellations. If you need to make any changes to your flights, please email us as soon as possible on flights@hamiltonisland.com.au.

Virgin Australia Velocity Points

Velocity Points are earned on direct bookings only with qualia (conditions apply, please visit https://www.qualia.com.au/velocity-frequent-flyer/).

Blackout period

A blackout period is a temporary interval during which access to room availability is limited or denied. For qualia, there is only one blackout period which covers Hamilton Island Race Week which is 20 – 29 August 2021 inclusive and 19 - 28 August 2022 inclusive.

Buggies

Each qualia Pavilion includes an electric golf buggy for the duration of your stay.

These are the general terms and conditions for buggies:

  • A full and current driver’s license is required to obtain use of a Golf Buggy.
  • Please be aware that as a condition of use, a $0 hold will be placed on your credit card when collecting your buggy.
  • Any repairs or replacement costs incurred due to damage whilst in your care is your responsibility.
  • You have the option to purchase a $12 per day damage waiver to protect against accidental damage. If the buggy is damaged and the waiver has not been purchased then $1,500 is charged to your credit card until the damage and cost has been assessed

Queensland Department of Transport and Main Roads have set out the following condition for use for all buggies operating on Hamilton Island:

  • Authorised drivers must be a minimum age of 21 years old and hold a current driver’s license to drive the vehicle.
  • A passenger less than six months old must be restrained in a rearward facing infant restraint, located in the front seat and secured to an engineered anchor point and fitted seat belt.
  • A passenger at least six months old, but less than four years old must be restrained in an approved forward facing child restraint and secured to an engineered anchor point and fitted seat belt.
  • Children are not permitted to travel on the lap of another passenger.
  • A passenger at least four years old, but less than seven years old must be restrained in an approved forward facing child restraint or by a seat belt.
  • A passenger four years old and above must not occupy the front passenger seating position if there is another passenger who is less than four years old

Travel Insurance

We recommend purchasing travel insurance to cover cancellations, travel delays and other unforeseen incidents and accidents.
